In this digital age, many entrepreneurs see the value of making sure their business has a digital presence. This can be in the form of a website, an article, social media posts, blog, or a podcast. And we can all agree, doing all these takes way too much time and require expertise to be effective.

In this session, we are joined by Dr. Berry Pierre, a board-certified internist, the CEO and Founder of Pierre Medical Consulting, and the host of the Lunch and Learn with Dr. Berry Podcast.

Here, we will learn about the reasons why Entrepreneurs need podcast VAs and what they are looking for in an applicant when looking for a VA.

00:00:00

Hey Podsters!
00:00:01
Speaker
Welcome to Podcast VAs Philippines.
00:00:03
Speaker

Meet Dr. Barry Pierre: Client Experience

00:00:12
Speaker
In this session, we're joining Dr. Barry Pierre, the CEO and founder of Pierre Medical Consulting, also the host of the Lunch and Learn with Dr. Barry podcast, and he is also my client for almost three years.

Why Hire a Podcast VA?

00:00:26
Speaker
In this session, we will have a glimpse of the reasons why podcasters choose to hire VAs for their podcasts and why it's important that they need a VAs for their automation and podcast process.
00:00:46
Speaker
So Podsters and Podcast V.A.S.
00:00:48
Speaker
Philippines, this is a session that I planned for a very long time in line with our first anniversary for

Dr. Barry's Podcasting Journey

00:00:56
Speaker
Podcast V.A.S.
00:00:56
Speaker
Philippines.
00:00:57
Speaker
I would like to introduce to you Dr. Barry Pierre.
00:01:00
Speaker
He is a board certified internist, a bestselling author, the CEO and founder of Pierre Medical Consulting, and my client for almost three years.
00:01:11
Speaker
Hi, Dr. Barry.
00:01:12
Speaker
How are you?
00:01:13
Speaker
I'm well, thank you.
00:01:15
Speaker
And just excited to be able to speak to the group again.
00:01:18
Speaker
I'm excited to give any little wisdom I may have to kind of help move everybody forward.
00:01:24
Speaker
Definitely excited about it.
00:01:26
Speaker
And so going to our podcast questions, all right.
00:01:30
Speaker
Most podcasters, they look for VAs or virtual assistants because they need help either launching or have no idea how to do them or just...
00:01:39
Speaker
needs help with maintaining the podcast because it's a hard job.
00:01:44
Speaker
It requires a lot of time to do it.
00:01:45
Speaker
In your case, that was a totally opposite thing because you started as a podcaster yourself and then you just brought me on.
00:01:52
Speaker
You just brought me on and taught me.
00:01:54
Speaker
I'm weird because I've always liked technology.
00:01:58
Speaker
I've always been enamored, always found it very interesting.
00:02:01
Speaker
So I kind of wanted to know how to do all of those things, but it's not the norm.

Synergy Between Podcasters and VAs

00:02:09
Speaker
And as more and more people want to get into podcasts, understand the power of podcasting, having a rockstar VA, especially like yourself, can make that job so much easier.
00:02:21
Speaker
It's really up to the person who's the podcaster and then the VA to really kind of find that marriage to figure out like, all right, how can we both use each other?
00:02:30
Speaker
And this is my weakness.
00:02:31
Speaker
This is my strength, which I'm pretty sure we're going to talk about today.
00:02:34
Speaker
Yeah.
00:02:35
Speaker
Right.
00:02:35
Speaker
And so since you started it by yourself, what made you decide that it's time, it's about time to get a BA?
00:02:42
Speaker
That's a very good question.
00:02:42
Speaker
And this is a question that all business owners, especially the ones who kind of start out on the entrepreneur side kind of run into, especially when they're doing everything themselves.
00:02:53
Speaker
And they're okay doing everything themselves.
00:02:56
Speaker
A lot of times we have like a mental block that says that, oh, if I let someone else do it, my VA, if I let someone else do it, they're not going to do as good as me.
00:03:07
Speaker
Like we're just like, we're psychotic that way.
00:03:10
Speaker
And I was reading, I forget which book I was reading, but like they basically said that you aren't being the most efficient self if you are doing everything in your business.
00:03:20
Speaker
It's not a business if you have to do every single step.
00:03:24
Speaker
And I think that was some of the realization that I was like, oh, you know what?
00:03:26
Speaker
I need to actually look and say, all right, what am I good at?
00:03:34
Speaker
What do I enjoy doing?
00:03:35
Speaker
But more importantly, where do we get the max benefit?

The Importance of Delegation

00:03:39
Speaker
from me doing it right because can i go from recording podcast scheduling for the edit i could do every single thing yeah the question is should i right and i think that's the that's the mental step that a lot of entrepreneurs have to face is recognizing that yeah you can do it
00:03:59
Speaker
But should you be doing it?
00:04:00
Speaker
And then I forget, I think it was some productivity book.
00:04:03
Speaker
And then I think that's what kind of turned the corner for me that I realized like, yeah, I can do this, but like, I probably shouldn't be doing all of this.
00:04:11
Speaker
And then once I did that, that's when it was kind of that next step.
00:04:13
Speaker
I said, all right, I need to, I need to bring some help in here.
00:04:16
Speaker
Yeah, that's good.
00:04:17
Speaker
And in line with that, my tasks with you does not require everything.
00:04:21
Speaker
Like some podcast VAs, they really help their clients from guest searching, guest pitching, and all that.
00:04:29
Speaker
And with you, what I only do is anything post-production related.
00:04:35
Speaker
And I have to agree with you that it's not easy to delegate to people.
00:04:38
Speaker
And it's the quality of the work that
00:04:41
Speaker
I guess we fear that will not be replicated toward the VA.
00:04:46
Speaker
We're weird like that.
00:04:47
Speaker
We feel like we're the only ones who can do it correctly until you, and one, I always figure like, all right, if you're the only one who can do it correctly, that means you probably aren't a good enough teacher, right?
00:05:00
Speaker
Because you should be able to teach and train someone to do the exact same steps.
00:05:06
Speaker
Once you do that, you should be able to just kind of hand that off.

The Podcast Process for VAs

00:05:10
Speaker
Did you ever have a hard time delegating the tasks or how, what was the challenge for you?
00:05:15
Speaker
Yeah, no, I think the biggest thing was me is like, because I was so good at doing the things,
00:05:22
Speaker
like really realized like, yes, I can do that.
00:05:25
Speaker
But like, I really have to ask myself, should I be doing that?
00:05:28
Speaker
And more importantly, when I realized that if I give up some of these duties here, I can then spend more time doing duties over here.
00:05:38
Speaker
Like it almost made sense to me.
00:05:40
Speaker
Like it almost made sense.
00:05:41
Speaker
Like, wow, now that I don't have to worry about X, Y, and Z, now I can actually spend more time
00:05:47
Speaker
Over here.
00:05:47
Speaker
So you found you, you actually find yourself as, as, especially as the creator being more productive, which you didn't think, right.
00:05:54
Speaker
But you actually become more productive once you hand off to your VA and say, Hey, do these tasks for me here so I can focus on these tasks in this area there.
00:06:05
Speaker
Yeah.
00:06:05
Speaker
Exactly.
00:06:06
Speaker
So it's about determining, you know, what are the things that you can do on your own and you need to be doing on your own or what are the things that you can easily like assign to others.
00:06:16
Speaker
I think one of our first, I think when we did our initial assessment, I think we had like me and you, we did like this diagram.
00:06:23
Speaker
where we kind of said like, all right, these are the things like I can't do, but I love doing.
00:06:28
Speaker
These are the things I can do.
00:06:29
Speaker
I don't really love doing.
00:06:31
Speaker
These are the things I can't do, but like, and I also don't like doing.
00:06:36
Speaker
And then we just saw that like, oh, the stuff I don't actually like doing, she loves doing.
00:06:41
Speaker
Boom, like that, it just kind of clicked that way.
00:06:46
Speaker
And I think you really have to, especially as the VA,
00:06:50
Speaker
One, be able to kind of understand kind of the business of the podcasting, all of the different stages, and then realizing where your skills are best met and matched.
00:07:02
Speaker
Exactly.
00:07:02
Speaker
Right.
00:07:03
Speaker
I agree.
00:07:04
Speaker
And I have a few questions from the members of the community that I like to ask also.
00:07:08
Speaker
Some of these are about podcast VAs.
00:07:11
Speaker
Some are really specific to those that are podcast producers, those who are doing everything online.
00:07:17
Speaker
from step one up until post-production or promotion.
00:07:21
Speaker
How do you think can podcast VAs position themselves as not just a podcaster's assistant, but an expert in the podcasting field?
00:07:30
Speaker
Oh yes, oh very good question.
00:07:32
Speaker
I think first and foremost, understanding
00:07:35
Speaker
And we kind of mentioned a little bit about what are the stages of, like, how does a podcast episode come out, right?
00:07:41
Speaker
Like, and understanding the different stages that occur.
00:07:44
Speaker
Again, there's that pre-stage where, like, I need to look for guests, schedule guests, put guests, get the questions ready, right?
00:07:53
Speaker
There's the actual recording phase of it, right?
00:07:55
Speaker
Which, again, is typically, you know, kind of, especially if you do it well, right?
00:07:59
Speaker
We're good at, you know, me and you are very good from an automation standpoint.
00:08:02
Speaker
And then, like,
00:08:03
Speaker
I'm big on that, like the recording aspect.
00:08:05
Speaker
And then after the recording, if any editing needs to occur.
00:08:09
Speaker
And then when you go to publish, what type of social media, what type of marketing and all of these things that kind of need to happen.
00:08:16
Speaker
So I think if you're going to be a rock star podcast VA,
00:08:19
Speaker
you should be able to delimit, you should be able to say like, all right, these are all of the steps, right?
00:08:25
Speaker
In fact, you should be able, if you're a rockstar or VA, you should be able to do your own podcast.
00:08:29
Speaker
Like that's how good it should be.
00:08:31
Speaker
Like you should be able to go from point A to point Z on the podcast.
00:08:36
Speaker
And then recognize in your creator, like, hey, like, I see you like doing those things there, but like, I can, I can do that for you.
00:08:43
Speaker
You don't have to do that.
00:08:45
Speaker
And then they're like, oh, okay, that makes sense.
00:08:46
Speaker
And then like building upon that, but like, I think you have to definitely understand what the foundations of a podcast and how do I get a podcast out to the public?
00:08:55
Speaker
Yeah.
00:08:55
Speaker
Because it's one thing to schedule guests.
00:08:58
Speaker
It's one thing to get to guests.
00:08:59
Speaker
It's one to record.
00:09:00
Speaker
And there's so many different factions there.
00:09:02
Speaker
And as the podcast VA, you have to be on cue for every step of the way and understanding what's missing, what's not missing, what do I need here to kind of help out your creator who may not even realize, oh, if I just did this, things would be so much easier.

Key Skills for Podcast VAs

00:09:18
Speaker
I agree.
00:09:18
Speaker
That's one of the things that I also teach in the community, that it's very important that you have at least the knowledge of the process itself, because that process is big in podcasting.
00:09:29
Speaker
So being able to know that is a very good first step towards becoming a podcast producer.
00:09:38
Speaker
Yeah, almost definitely.
00:09:39
Speaker
Because I think as a producer's role...
00:09:42
Speaker
You have to be able to know when things in the chain like falter, right?
00:09:47
Speaker
Like when, like if the guest doesn't show up or it's recorded, but it's not scheduled.
00:09:51
Speaker
Like, oh, it's recorded.
00:09:52
Speaker
It's not scheduled.
00:09:53
Speaker
It's not like you have to be able to know and be able to problem solve those problems pretty, you know, pretty readily.
00:10:01
Speaker
Yeah, exactly.
00:10:03
Speaker
Now, our next question is, here we go again with the qualities.
00:10:07
Speaker
That's one of the things that are being asked.
00:10:09
Speaker
What are the top three qualities or skills that you are looking for when hiring a podcast VA back when you were hiring?
00:10:17
Speaker
Sure.
00:10:18
Speaker
Adaptability is one, because especially when the initial stages of the concert creator, they may not realize where exactly you're going to fit in.
00:10:29
Speaker
But being able to be plugged in at a place and then expand upon later on is huge.
00:10:35
Speaker
It's key, right?
00:10:36
Speaker
Because you don't necessarily want to be the podcast VA who only really knows how to do the front end stuff like scheduling, but doesn't really know how to do anything else after it.
00:10:46
Speaker
It's scheduled, right?
00:10:47
Speaker
Because then again, you're, you're, you almost get deemed a liability, like, oh, I can't really rely on.
00:10:51
Speaker
So being able to be adaptable in multiple places, speed is very key.
00:10:56
Speaker
You, you noted this as well, too, because, because things happen so quickly, recognizing when things are go, recognizing when things are going well, recognizing when things are,
00:11:06
Speaker
aren't, you know, in the place it needs to be.
00:11:08
Speaker
So I think definitely having it being adaptable, being speedy.
00:11:12
Speaker
And then obviously this, I think the aspect of just kind of being just kind of, you know, as efficient as possible, right?
00:11:18
Speaker
Because time, time is not something anyone wants to waste, whether you're a content creator or your VA.
00:11:24
Speaker
So learning how to make all of the tasks and roles and complete in such an efficient manner helps everybody.
00:11:33
Speaker
I agree.
00:11:34
Speaker
And I like to just point out with Speedy because it is important not only for podcast VAs, but for everything in general, actually.
00:11:44
Speaker
It's very important, especially when it comes to podcasting.
00:11:46
Speaker
Since the podcast goes through a stage, if you do not meet what's needed of you at the time that you are required to do it, then it affects everyone else.
00:11:58
Speaker
It affects the entire

Building Strong Creator-VA Connections

00:11:59
Speaker
process.
00:11:59
Speaker
Oh, yeah, that is so important because these things move in kind of the circular motion.
00:12:07
Speaker
Like if one piece, again, if the guest who I'm scheduling doesn't get their scheduling, then everything downwind doesn't occur to the best of his ability.
00:12:19
Speaker
So, yeah, I definitely agree.
00:12:21
Speaker
And be able to adapt to that fast is huge for sure.
00:12:26
Speaker
Yeah.
00:12:27
Speaker
That is awesome.
00:12:27
Speaker
I love it.
00:12:28
Speaker
Okay, next, we have another question.
00:12:31
Speaker
It says, entry-level BA, but purely professional and boring or beginner to immediate level, but connects with you like a family or friend?
00:12:43
Speaker
Honestly, interesting enough, I like the aspect of connection, right?
00:12:48
Speaker
Because when you're working with your creator, right, with the person you're being the assistant on, being able to just kind of be able to just have a good relationship that just kind of flows together makes things so much easier, right?
00:13:04
Speaker
Makes it so that if I forget something like,
00:13:06
Speaker
oh, hey, what about this?
00:13:08
Speaker
There was a couple weeks ago where I forgot to record the podcast.
00:13:14
Speaker
Now, if you're at this game, you're just kind of beat and you're not even realizing, you don't even get to the point where, hey, boss, I don't think you recorded the podcast or something.
00:13:22
Speaker
And then those things happen to occur.
00:13:24
Speaker
So I think the relationship aspect is so key, especially if you're going to, you know, work with someone in their business and again, have all the kind of the nuts and bolts of their business.
00:13:36
Speaker
They're going to want someone they can rely on.
00:13:38
Speaker
They're going to want someone they can trust in that regard for sure.
00:13:42
Speaker
Yeah.
00:13:42
Speaker
And that is like on the client side, on the VA side as well.
00:13:46
Speaker
I would just like to share that it's also very important that the feeling of being a family or friend or working professional clicking together does not like happen right away.
00:13:56
Speaker
You would be able to, I mean, the interview, you might have a, a, a hinge of it, but then as you go along, that's, that's all the more that you'd be able to know your client well and, you know, see for yourself whether or not this client or you, you work together really good.
00:14:11
Speaker
You,
00:14:12
Speaker
You also have to look for someone who is after your growth and is not scared for you that you're growing.
00:14:19
Speaker
Because some clients are just so scared of losing you, very selfish, that they say, hey, you're not allowed to look for other clients.
00:14:28
Speaker
You just have to work for me full time.
00:14:31
Speaker
That's it.
00:14:31
Speaker
That's all you have to do.
00:14:32
Speaker
And that's not a very good client to have.
00:14:35
Speaker
That is...
00:14:36
Speaker
a toxic kind of client.
00:14:38
Speaker
So it's very important that you also, as a podcast VA, would be able to evaluate or discern that for yourself, whether or not, you know, that client is for you.

Continuous Learning and Growth for VAs

00:14:48
Speaker
Yeah.
00:14:49
Speaker
And I think that's where when you come in at the because a lot of time I know the fear, especially as a beginner, is that because you don't know all of the nuts and bolts, you know, that you won't feel that you're able to grow.
00:15:01
Speaker
Right.
00:15:01
Speaker
But that's why I lean on, you know, the business owner itself.
00:15:05
Speaker
Right.
00:15:05
Speaker
Like it's still up to them to learn and train.
00:15:10
Speaker
and get that VA to where they want them to eventually be.
00:15:15
Speaker
In fact, I know for a fact, if I wanted to, I could just record, send it out, and then everything happens.
00:15:21
Speaker
I don't have to do anything else.
00:15:23
Speaker
And that's kind of what you want.
00:15:25
Speaker
You want it to the point where you don't have to
00:15:28
Speaker
you know, do extra work like associated with it, right?
00:15:31
Speaker
Because you, you establish a criteria, you've established training models, you've established just the game plan and procedures, and then you just let your VA work for you because that's what they want to do.
00:15:41
Speaker
Yeah, exactly.
00:15:43
Speaker
I agree.
00:15:44
Speaker
Now we have another question.
00:15:46
Speaker
Would you hire someone who didn't reach even 80% of what you're looking for or the qualifications?
00:15:53
Speaker
Would you or would you not?
00:15:54
Speaker
And why?
00:15:55
Speaker
For what reason?
00:15:56
Speaker
Yeah.
00:15:56
Speaker
If the initial qualifications, you know, they don't know how to use Canva or cell or one of these.
00:16:03
Speaker
If those things aren't there, as long as I can train you to do that, like that's a simple sell for me.
00:16:11
Speaker
If you're and that's why I feel like being adaptable is so key.
00:16:14
Speaker
Right.
00:16:14
Speaker
Because you have to want to.
00:16:16
Speaker
learn a new task, learn a new skill, right, to be able to kind of grow, right?
00:16:21
Speaker
And that's why that relationship is so key, right?
00:16:24
Speaker
Because if you're hired by someone who's not teaching you, like, how to improve, not teaching how to improve your skills, right, like, then, like, what is it for, right?
00:16:34
Speaker
Because your business, right, and I'm selfish, right, your business can only grow as the employees around it.
00:16:42
Speaker
Right.
00:16:42
Speaker
So because she might be every like three years now.
00:16:45
Speaker
Right.
00:16:45
Speaker
So like any time I learn something or I do, I get a course or anything else.
00:16:50
Speaker
I say, hey, this is I think this would be a great course for you.
00:16:52
Speaker
Right.
00:16:53
Speaker
Yes.
00:16:54
Speaker
I'm selfish because I know it will benefit for me.
00:16:57
Speaker
But now I know that she can then turn around and use that.
00:16:59
Speaker
Oh, yeah.
00:16:59
Speaker
I'm also.
00:17:00
Speaker
Like I've been studying, I've studied this, I've learned this.
00:17:03
Speaker
Right.
00:17:03
Speaker
And that's, that's the goal, right?

Like, because, because she's, she'll be a rockstar person.
00:17:08
Speaker
She'll naturally be a rockstar person also within my company as well.
00:17:12
Speaker
So I think I wouldn't allow,
00:17:15
Speaker
you know, not necessarily knowing that extra 20%, just understand that, yes, I don't know the 20%, but I'm definitely willing to learn at whatever pace you need me to learn, right?
00:17:27
Speaker
Like, you just got to have that willingness to want to do it.
00:17:30
Speaker
And I think that's the key that I've learned over, you know, the past three years or so, kind of working with the VA is that, you know, they want to learn, they want to help, right?
00:17:39
Speaker
So you just got to just give them the opportunity.
00:17:42
Speaker
Yeah.
00:17:43
Speaker
And can I just share pod stories?
00:17:44
Speaker
When I started out with Dr. Berry, I had no idea about podcasting.
00:17:48
Speaker
He was the post.
00:17:50
Speaker
Okay, here we go.
00:17:51
Speaker
The post was only about WordPress and that I blog.
00:17:55
Speaker
I have a personal blog.
00:17:56
Speaker
So I was like, oh,
00:17:58
Speaker
this is something I could probably do.
00:18:00
Speaker
And so I applied.
00:18:02
Speaker
But it was little did I know that the WordPress part was mainly because of a show notes writing for a podcast.
00:18:10
Speaker
And so if Dr. Berry is not generous enough to let me learn about new things, new courses that he bought himself, I wouldn't be able to be where I am now.
00:18:21
Speaker
So this is an appreciation for
00:18:24
Speaker
This is an appreciation part because, yeah, you look for someone who is not just looking at you as an employee, although we are really helping them out, but a partner for growth, someone who would be happy to see you grow and see you learn.
00:18:42
Speaker
And I'm going to tell you, when I first started, like, I didn't know what a VA could do for me.
00:18:46
Speaker
I just knew, like, everyone was telling me, I'm reading books, and everyone's saying, like, you need to have a VA.
00:18:53
Speaker
So when I looked around, and I said, all right, what is the one thing that if I got, you know, they took it off my hands right now, I'd be kind of happy.
00:19:00
Speaker
It was like, boom, that like, all right, yeah.
00:19:02
Speaker
Like let's do this WordPress aspect of it.
00:19:04
Speaker
Right.
00:19:05
Speaker
And then it just kind of started moving backwards.
00:19:07
Speaker
Right.
00:19:07
Speaker
Well, you know, we're doing a podcast, you know, let's start moving kind of backwards to the podcast as well.
00:19:12
Speaker
And then like, I was also doing like some data entry stuff.
00:19:15
Speaker
I like, oh, you know,
00:19:17
Speaker
some data entry as well.
00:19:18
Speaker
So like, it just kind of continues to grow.
00:19:20
Speaker
And that's why, again, so she's able to kind of check off.
00:19:24
Speaker
Boom.
00:19:24
Speaker
Yep.
00:19:24
Speaker
I can do that.
00:19:24
Speaker
Yep.
00:19:25
Speaker
I do that.
00:19:25
Speaker
Yes, I do that.
00:19:26
Speaker
Like I said, I can, I can right now just record a podcast and just upload it somewhere.
00:19:33
Speaker
And then like things happen, like, like, and, and that's, that's what you want.
00:19:38
Speaker
But like, if you would have asked me three years ago, I would have still been doing all of those extra things there.
00:19:44
Speaker
And then what happens is while I'm doing all these extra things, I can't go and try to look at different ventures.
00:19:51
Speaker
I can't go and try to get more guests.
00:19:53
Speaker
I can't go and do those things because I'm busy doing these other things here.
00:19:57
Speaker
And that's where, even as a VA, even if you only know 80%, if you come in and say, I'm ready to learn, hey, I see you do that.
00:20:06
Speaker
Do you need any...
00:20:08
Speaker
Just those things there, like it'll break down your business partner.
00:20:12
Speaker
And then all of a sudden they realize, oh, you know, you can do that.
00:20:14
Speaker
And then like their life is, you know, such a dream.
00:20:18
Speaker
Yeah, that's awesome.
