Speaker: I am your host, Taryn Rochelle, and our guest today really needs no intro, but for those of you who are new to systems or new to Dubsado, Becca is someone who you will quickly meet and truly admire like I do.
Speaker: Becca Berg is the co-founder along with her husband, Jake, who together started Dubsado, a CRM tool and our personal favorite around here that allows you to keep your CRM on brand to your business online.
Speaker: while still having robust automations and workflow capabilities.
Speaker: Becca started out as a photographer and because of that background, I can see how her knowledge in that industry and in the online space as a whole now continues to cultivate an amazing platform and community like Dubsado.
Speaker: As a certified Dubsado specialist and someone who converted over from another CRM tool because of finding Dubsado in my jaw, literally dropping and thinking, why am I not using this?
Speaker: I am completely honored to have Becca join us on today's episode.

Speaker: Well, I am so excited.
Speaker: Like I said, and like many of you know, I am a certified Dubsado specialist.
Speaker: And so Dubsado is a tool that I use every day in my business and also help my clients with theirs as well.
Speaker: And so when I had the idea of starting this podcast, I was telling Becca before we hit record that she was one of my dream guests to have on the podcast.
Speaker: And when I checked that off,
Speaker: in ClickUp, I was like, oh my gosh, like, did that just happen?
Speaker: Yes.
Speaker: And I'm super excited.
Speaker: And I know so many of you are going to truly admire Becca and what her and her husband have created over at Dubsado.
Speaker: So Becca, for anyone who doesn't know, what is Dubsado and how did you and your husband get started creating the platform?
Speaker: Yeah.
Speaker: So as you wonderfully said in the intro, Dubzado is a client management system where you can use to automate tasks in your business, manage your clients, and ultimately what we're looking for is grow your business because you aren't doing the everyday tasks of business.
Speaker: So Dubzado can help you sign contracts, collect payments, send custom forms, and just do a ton of things with Dubzado's powerful workflows.
Speaker: And the whole idea came about, Dubzotto was founded on a need that my husband Jake and I had.
Speaker: I was a wedding photographer and I was also doing children's headshots.
Speaker: And my husband dabbled in web design and he was managing a retreat center at the time.
Speaker: So we ultimately had a ton going on.
Speaker: So we needed to keep all of our stuff in one place.
Speaker: Charlie, who was our youngest at the time, he was coloring all over our paper contracts that we had.
Speaker: It was, things were just a mess.
Speaker: So I knew that systems like this existed out there.
Speaker: And I was like, okay, well, it's time for me to get set up on something so I can keep everything all in one place.
Speaker: And I go and I search every system there is.
Speaker: And even some of those are now our competition.
Speaker: And I looked at them and I'm like,
Speaker: It just doesn't feel like my business.
Speaker: The forms that I send out don't feel like they're a representation of what's on my website, don't feel like it's me.
Speaker: And I wanted to be able to create a client experience that was cohesive from the time that they look at my website, from the time that they send a review and a testimonial into me.
Speaker: And so that's what we set out to do, to be the most customizable platform.
Speaker: on the market and ultimately creating it for me and Jake.
Speaker: But with the idea in mind, this would be the best tool out there for the service-based business owner.
Speaker: Yeah.
Speaker: So anyone who has been in my community for a while, you're probably like, did I take that phrase from Becca?
Speaker: No, you guys, this is how much I have really come to love Dubsado and how I know that it is the right, not just platform for me, but the community for me because it's
Speaker: Me and Becca speak the same language.
Speaker: I say that all the time that I want someone to get my brand.
Speaker: I want someone to get my client's brand from the very beginning, from when they first find us on social media and then end up in my lead capture all the way through when they're sending raving testimonials and referrals.
Speaker: And a platform like Dubsado really helps that happen.
Speaker: It helps your systems and your business stay on brand.
Speaker: at all times.
Speaker: And that is so important, especially just in the time we're at right now where people are one watching their money closely, they're making very sound investments in their business, and you want you to be an easy yes for them.
Speaker: And what helps that happen is them feeling like they're getting you all the time, whether it is through your system tool, whether it is through the call you're getting on, whether it is when you are showing up to photograph their wedding.
Speaker: It is so important for them to get you all the way through.
Speaker: And I feel like systems are an easy place where people let that lack.
Speaker: And they are like, well, I don't need it to be on brand.
Speaker: It's just a system tool.
Speaker: Exactly.
Speaker: And to the other point of that too, that's probably why a lot of people don't end up using systems is they're looking for that cohesive client experience.
Speaker: They're looking for making sure that every client feels really special and they feel really timid to get on a system like Dubzato or like the other competition out there because they don't want to lose that client experience.
Speaker: So they end up holding on to everything and sending out all the emails themselves and doing everything themselves
Speaker: But like Devzato, it's a system that you can customize what you want.
Speaker: You can make your automation sound like you when they're going out and you're picking up kids from school or you're at a yoga class doing whatever, you know, focusing on your mental health and stuff like that.
Speaker: So you can still be you using a system like Devzato.
Speaker: Exactly.
Speaker: And I feel like that is definitely something that we personally hear here all the time is
Speaker: is, well, I want it to sound like me.
Speaker: I don't like automations because they sound like a robot.
Speaker: Well, the emails that you guys are getting from me at 2 a.m., if you inquire with me then in the middle of the night, I'm not sending you those emails that are super on brand that have gifts and my brand messaging and things like that.
Speaker: That is because of something like Dubsado that is able to send out those automations for me while I'm sleeping, while I'm in pickup line for my daughter, while I'm
Speaker: doing things while I'm just sitting on the couch.
Speaker: Like I don't need to be doing anything and still have my systems working for me and making money or catering to my clients, my leads.
Speaker: And it's so important to have that client experience, even if I just want to do nothing and sit around that day.
Speaker: And that is completely fine.
Speaker: You started out as a photographer and many of our listeners are in the wedding event space.
Speaker: including photographers.
Speaker: So why would you say it is so important as a photographer or those in the creative space to use a CRM platform like Dubsado, which allows you to keep it so on brand and personal to you and your business?
Speaker: Yeah, I mean, like you said, keeping the client experience is important all the way through.
Speaker: But especially with something like photography or service based businesses, a lot of things that we are doing focuses a lot on dates and timelines and keeping things straight.
Speaker: And our minds can only keep a certain amount of things in order before we start losing track.
Speaker: I think we have some picture here that your mind can only keep four things running at the same time, some like law of design or something that we have downstairs on the developer floor.
Speaker: It goes true with things in your business.
Speaker: You can only keep so many balls in the air before you start dropping them.
Speaker: And especially in photography, there's so many moving parts that we need to make sure that we keep it all in one place.
Speaker: So having a system to kind of be the guide rails, you can fully build out automations if you want to, or you can use
Speaker: a system like Dubsado to just help guide you along.
Speaker: If you still want to send some things out manually, you still can, but you have a system that can prompt you, that could remind you, that can be your assistant in your business.
Speaker: You know, most of us, most of the people in their business are solopreneurs.
Speaker: They have maybe one or two people on their team.
Speaker: And it's an investment in that as well.
Speaker: Hiring another person is more expensive than getting a system like Dubsado to help automate some tasks for you.
Speaker: Exactly.
Speaker: We send now to our clients after their Dubsado builds a return on investment report, and it shows how many tasks are automated now, how many tasks are still manual, because that also helps my clients who maybe want to still do some things manually and
Speaker: You know, us as certified Dubs Auto Specialists can only say so much if you want to keep them manual.
Speaker: Yes.
Speaker: But we do show them like a graph of what that looks like and also how much it would have cost to have an assistant at, you know, the standard of $25 an hour do these tasks for you and how much money you can save and not saying don't have an assistant, but have an assistant that can do things that your systems can't do.
Speaker: You're already paying for Dubsado.
Speaker: You're already paying for these tools you're using in your business.
Speaker: So why not use them to their highest capabilities and then have your team be doing things that your systems cannot?
Speaker: Because then you're going to see a return on investment on both sides.
Speaker: Because a lot of people have been with system tools.
Speaker: They're like, well, you know, it's another business expense.
Speaker: And well, yes, that's true.

Speaker: I had a client that used to take them days to send out proposals because they did it so manually.
Speaker: It had to have such high touch, like they wanted their hands on everything.
Speaker: And then when we got done with it, it takes them less than 10 minutes to send out a proposal now.
Speaker: And that is because of Dubsado and because of the features that are in there and because of our expertise that we can bring into it to make it happen that way.
Speaker: And leading into that, like I'm sure like as starting and creating a software like Dubsado, it didn't have all the features that it has now.
Speaker: And I know it's always coming out with new ones.
Speaker: And one thing that we teach and preach here is to allow people
Speaker: your system tools to grow with your business.
Speaker: So how has that journey been for you guys, you and your husband, your team now of starting your brand and business where it was at the beginning to where it is now at and still growing?
Speaker: Yeah, when we launched UBS Auto in 2016, Jake and I had high hopes that we were going to have A, B, and C type features and all of these bells and whistles.
Speaker: And things got real a couple weeks before the launch.
Speaker: And we had to cut some things out so that we could continue to commit to the deadline that we promised the
Speaker: our early bird adopters that opted into our email list to get the low price.
Speaker: So we wanted to be truthful and deliver on that promise that we did.
Speaker: So we released, Dubzado was basically when we released a glorified address book.
Speaker: That sent forms.
Speaker: And yes, it was a little deflating to launch like that, but the forms, we focused on our one thing, and that's what I said at the beginning is our customization.
Speaker: And that's what we made sure to really make shine.
Speaker: So when people got into Dubsado, they were like, oh, I can send these wonderful forms.
Speaker: So they naturally just started using our forms.
Speaker: I made sure to keep the contact open with all of the people that used Dubsado, especially in the very, very beginning.
Speaker: to keep in contact with them.
Speaker: And what are you looking for?
Speaker: What are you needing?
Speaker: What do you see in other systems that's making you hesitant to come over?
Speaker: And really just set and listen to our people.
Speaker: And that's where we continue to grow.
Speaker: Dubsado is just listening to the needs of the people that were using the system.
Speaker: Also looking at what the industry standard was, because we have to be in line with what the industry is.
Speaker: Yes, you can get in, you could rock the industry, do something different.
Speaker: But ultimately, we're moving into
Speaker: The CRM space and we have to act like a CRM.
Speaker: So we needed to make sure to keep our eyes on the prize, but also allow our users in that journey as well.
Speaker: And I think you guys still continue so well at doing that.
Speaker: yes, you know, you guys have grown so much that you can't take every feedback and put it into place, which I'm sure is something that's hard for you guys, which I can only imagine.
Speaker: But you guys still are very good at, you know, asking for feedback and, you know, doing beta rounds of things and having the certified Dubsado specialist community where you can, you know, gain knowledge into what, you know, our clients are finding frustrations with and,
Speaker: and where they're needing their CRM tool to be, because I feel like still, there is no tool that does absolutely everything.
Speaker: And I feel like when tools are advertised that like we do everything under the sun, it really doesn't work well.
Speaker: And so I feel like you just need to find the best tool that is like in their zone of genius, which Dubsado's is a CRM.
Speaker: And so find your CRM tool, and then you can tech stack
Speaker: other tools on top of that, like a project management tool that works well.
Speaker: So for us, we do Dubsado and ClickUp.
Speaker: And so finding tools that work well together so that they can both shine in their zone of genius.
Speaker: And I'm not trying to do too much in one platform.
Speaker: But the platform that I am using for the CRM side of things, making sure that it is what I need, which Dubsado is with the customizations, the workflows.
Speaker: Like I said, I moved from another CRM tool over to Dubsado.
Speaker: And because that tool was lacking the customizations, the workflow capabilities, I outgrew the platform very quickly.
Speaker: And as my business grew, I didn't want to feel like I need to continue moving system tools because it is a pain.
Speaker: As many of my clients know that are like, oh, you know, I need to move from this platform over.
Speaker: There's a lot to do.
Speaker: And so, you know, really finding something that can grow with your business.
Speaker: is super important.
Speaker: But I'm, I love hearing, you know, your guys's journey of really taking that feedback in, because that's something that we talk a lot here at the socialized cell co and here on this podcast, is that to really listen to what your audience needs, and not just thinking about just yourself, yes, you want to build your business around your life, and not like your your clients lives or your business and things like that.

Speaker: you want to really still think about, okay, what are my clients?
Speaker: What is my audience needing?
Speaker: And how can I put things out there and make things that are going to make them say an absolute yes?
Speaker: And how am I going to elevate that experience for them so that when they are looking at me
Speaker: and five other photographers or me and 10 other wedding planners, like who are they going to choose?
Speaker: Have you be that immediate?
Speaker: Yes.
Speaker: And finding system tools like Dubsado are really going to help help you guys do that.

Speaker: You brought up something that really leads into my next question for you, which is a very hot topic in my industry, specifically in systems and also who we serve here in the wedding and event industry, which is the conversation about competition in the online space.
Speaker: And I'm a huge fan of collaboration over competition.
Speaker: which is something I truly say Dubsado helps a lot with because I personally have gotten to know so many certified Dubsado specialists and it's really helped that collaboration aspect.
Speaker: But the one thing we always come back to is that phrase like imitation is the sincerest form of flattery, like really a thing.
Speaker: For me, it's one thing to pull inspo and another to copy everything someone else is doing, which is a fear and has been a reality for many, including myself.
Speaker: Like I've had
Speaker: an entire sales page of mine copied before.
Speaker: And as a software company, I am sure that has been something that you guys have had to deal with, with other CRM tools out there.
Speaker: So how do you guys continue to find inspiration and expand Dubsado with the CRM competition out there?
Speaker: And how have you and your team had to maintain a certain mindset around business competition?
Speaker: Yeah, it is.
Speaker: Community over competition, when that phrase came out, it definitely sparked something in the industry and a really exciting thing because for so long, I think it was just very cutthroat.
Speaker: Everyone was out to get each other, especially when the internet launched and everyone could become an entrepreneur now and everyone can build.
Speaker: But then at that same time, everyone became each other's competition.
Speaker: And so when that phrase came out, I think everyone kind of took a sigh of relief of, yeah, we're all kind of doing the same thing.
Speaker: We're all trying to build something.
Speaker: And it started a really important movement for people to
Speaker: Just really be friends with each other and get along and realize that we're in the same space.
Speaker: But at the end of the day, we have to make money and we have to make our business different than the competition that's out there.
Speaker: But with a very cutthroat mindset of, oh, well, I'm just going to tear down everyone else,
Speaker: It's not healthy.
Speaker: And that's where I think the community over competition aspect is very helpful in business.
Speaker: Yes, I'm going to cheer other systems on.
Speaker: I'm going to support them.
Speaker: I mean, I'm just going to say HoneyBook and us.
Speaker: Jake and I talked to the co-founder and CEO.
Speaker: We have a relationship with him.
Speaker: And we could just be like, oh, absolutely not.
Speaker: Like, I don't want to have anything to do with them.
Speaker: No, like we share like, hey, I love what you're doing in this.
Speaker: And he's like, I love what you're doing in this.
Speaker: And we share our struggles.
Speaker: We share our strengths.
Speaker: And that in the end builds a really good relationship.
Speaker: But at the end of the day, we also know that we both need to succeed.
Speaker: Someone's going to come on top and we're going to hope that it's us, you know?
Speaker: But so I think for our team, keeping the mindset of being friendly with competition is so important.
Speaker: And being a real human with a real heart, our motto at Dubzato, I'm not wearing the shirt today, but we have a shirt that says software with heart.
Speaker: And what that means is when I started DubsAuto, I knew that I didn't want to be like every other software out there that was stale, that didn't have a personality, that didn't have a heart.
Speaker: And so for us, that's what community over competition means for us.
Speaker: It means it doesn't matter if
Speaker: You're rude to us.
Speaker: It doesn't matter if you're our competition.
Speaker: It doesn't matter.
Speaker: We are still going to have a heart to us because we know on the other side of that other business is a real person, is maybe a person who's struggling, is maybe a person who had a hard day with their kids or whatnot.
Speaker: So with our team is just making sure to keep that mindset that there's a real person on the other end of whatever that competition is.
Speaker: but being real with the fact that, you know, we got to keep an edge on ourselves.
Speaker: So if we see that, you know, HoneyBook maybe beat us to something, well, it's like, heck yeah, we're upset, but we're going to push harder and we're going to try harder.
Speaker: And there's nothing wrong with a little healthy competition as long as it's not out of spite.
Speaker: Yeah, definitely.
Speaker: And I think it really shows your guys' heart throughout your platform.
Speaker: I remember when I first joined and even your support chat like blew me away.
Speaker: I was like, I looked at the hours on there.
Speaker: I'm like, I think there's a typo because like they're pretty much here all the time.
Speaker: And it is so helpful to have that level of support, especially when you are first starting out in the software tool.
Speaker: And because coming over from a platform and coming into a new one and especially one a lot more robust, like I obviously have a systems brain.
Speaker: And even for me, I was like, this is very robust, but I was like excited about it.
Speaker: But I was still like, okay, like where do I go?
Speaker: Like kind of like what are in your support chat?
Speaker: your Facebook community was just so helpful and so supportive along the journey.
Speaker: And then when I was like, just fell in love with it, I'm like, I'm going to start offering this as a surface because this is so, like I was having so much fun with it.
Speaker: And then I was talking with others who like, you know, if you don't have a systems brain, it's not fun for you.
Speaker: Like for me, writing emails in the email marketing platform is not fun for me, but it's fun for a lot of my friends.
Speaker: And so, you know, finding your zone of genius and stuff like that,
Speaker: is so important, but that, that community aspect that you guys have, and, but also still remembering that you do have to, you know, kind of go, you know, back and forth with your competition, because at the end of the day, you know, that is something that is going to help you grow and is going to help you see, okay, like, what are they doing?
Speaker: Is this something that makes sense for our business?
Speaker: You can look at what someone else is doing, but does it align with your mission and values at Dubsado?
Speaker: You know, something that HoneyBook does may not be something that makes sense for your users and vice versa.
Speaker: And so making sure that you're always coming back to your brand and your values and your mission to make sure that even if you're seeing this inspo and what this person is doing in their business, it may not be right for your business.
Speaker: It may not be right for the season of life you're in.
Speaker: That person could not be a mom who is coaching their daughter's softball team and my husband's coaching our son's soccer team.
Speaker: Like what someone's doing that doesn't have kids is probably not going to work for my lifestyle of how busy we are.
Speaker: And that's okay.
Speaker: But you don't know that until you take that idea or that inspo and
Speaker: and then look at it through your business's eyes and your brand's eyes.
Speaker: And that's why it's so important to have a really solid brand.
Speaker: Because like you said, people will copy word for word your sales page or whatnot, but they're not going to have the brand to back it up.
Speaker: And if you really lean into your brand and really showcase your
Speaker: you as a person and get that out there to the world, that can't be replicated.
Speaker: You as a person cannot be replicated.
Speaker: So yeah, someone ripped off your page, but they're not going to have the same story throughout everything else.
Speaker: And I think that's what makes you non-rip-off proof is just getting your brand out there and just being really comfortable with who you are because people can't steal that.
Speaker: Good luck anyone else that can try to be as software with heart as us because even if they do achieve that, we have our heart and theirs will be their heart and it will look a little bit differently.
Speaker: It still might be phenomenal, but ours is amazing in our own way.
Speaker: And that's what we're leaning into and no one can ever take that away.
Speaker: Yeah, and I think it's all about just having that mindset.
Speaker: And I think everything in your business is
Speaker: just always starts and ends with the mindset that you have.
Speaker: I can always tell, you know, if I'm having a hard day in my business,
Speaker: I always check my mindset and I'm like, you know, am I having this hard day because of things that I can't control?
Speaker: Or am I having this hard day because of, you know, the mindset that I am in?
Speaker: And, you know, I had many times and I'm sure many people do.
Speaker: I'm sure you have Becca where things are, you know, harder in your business or harder in your relationship.
Speaker: And, you know, there are things that you have to overcome and get through and,
Speaker: But it is all about that mindset and thinking, okay, like, what can I do to change this and change my mindset and be on the right, the right wavelength when it comes to whatever I am struggling with right now?
Speaker: in my life or in my business.
Speaker: And a lot of people, when it comes to systems, they go into it with a scared mindset and overwhelmed mindset.
Speaker: I don't need this mindset in.
Speaker: I will never understand this mindset.
Speaker: And that is like the first step that I make sure that my audience is overcoming because you are.
Speaker: Even if I set up the most phenomenal Dubsado set up that you have ever seen with all the bells and whistles,
Speaker: If you still have that mindset of I'm never going to understand this, use this, love this, you won't use it.
Speaker: And, you know, it's happened, you know, a lot of us in the systems community talk about it all the time.
Speaker: And we're like, I've had a client that we did this and like, they don't even use it.
Speaker: And it is a lot of times because they're so scared of systems.
Speaker: They're so scared of automations that they're like, oh no, I'm going to turn off these workflows because I still want this to go out manually from myself.
Speaker: And it's all about that mindset and remembering that systems and system tools like Dubsado is
Speaker: are here to help you.
Speaker: They're not here to scare you or overwhelm you or harm your business.
Speaker: If you choose the right tools and choose the right system process, it is going to evolve your business and not do the opposite.
Speaker: Yeah.
Speaker: And for me, I was very hesitant in my photography journey to get on a CRM myself.
Speaker: It just didn't feel right.
Speaker: I was like, well, what am I going to do if I'm not responding to the inquiries that come through my website?
Speaker: If I'm not sending out proposals, what am I going to do?
Speaker: And I wish the mindset would have been different on that is what
Speaker: What else could I do?
Speaker: I could do other things if I wasn't busy responding to those inquiries from my website within 10 minutes.
Speaker: Why did I need to be attached to my phone like that?
Speaker: I could have been focusing on getting out there and getting more clients.
Speaker: I could have been focusing on other aspects of my business rather than the busy work, which sometimes that makes us feel
Speaker: quote, important.
Speaker: It makes us feel like we're doing something and we're creating that energy in our business.
Speaker: But in that case, it's just the wrong mindset.
Speaker: And just slipping into that can be hurtful to ourselves and just overstacking our schedules, but also to our business and not allowing our mind to be free to focus on the other things that we have to bring into our business.
Speaker: Yeah, definitely.
Speaker: I mean, for me, even making that shift over from another CRM platform into Dubsado, like completely changed my business.
Speaker: Like I have been able to guest speak a ton.
Speaker: I've been a guest speaker for Dubsado two times now.
Speaker: I obviously have those podcasts.
Speaker: I've done many summits today that we're recording this episode.
Speaker: I have a summit later today that I'm speaking at.
Speaker: And those kinds of things like would not have been achievable if I wouldn't have found a system, a CRM tool that
Speaker: that could do things for me, but then also letting them do them for me and not feeling like I had to hold the reins on every single part of my business because there is no way my business would have grown and scaled to where it is now.
Speaker: There is no way I'd be doing this podcast episode with you.
Speaker: None of this would have been happening if I wouldn't have made that change and really dove into understanding how
Speaker: the importance of systems and how they can really help me show up the way that I want to show up, not just in my business, but also in my personal life.
Speaker: Because I know like me, you are also a fellow mom and I love seeing people like you and like Cameron and Elise who also work at Dubsado get to grow their business while also growing their family as well.

Speaker: How do you feel like using Dubsado can help users stay present in their daily life, especially for all of our fellow parent business owners out there?
Speaker: You know, especially for parents, planning is so important because you never know what's going to happen.
Speaker: Your kid is going to be out of school because they're sick.
Speaker: I don't know if there's a snow day, the school shuts down.
Speaker: And especially if you're a parent, that all lands back on you.
Speaker: You're responsible for this little human and making sure that they're okay.
Speaker: But also you're responsible for making sure that food is on the table, that the house is paid for, that the rent is covered.
Speaker: It's a lot to handle and you can't do it by yourself.
Speaker: As much as you think you can, it's hard.
Speaker: And having a system to help you do something like this will help you on those days where you do need a little bit of a fallback because your kid is homesick from school.
Speaker: And you need to get those proposals out.
Speaker: Maybe you do need to get on the computer and manually send something, but at least it's in there and is able to, you don't have to go around searching in your Gmail attachments or whatnot.
Speaker: So it's that backup thing.
Speaker: for you so that you can relax a little bit.
Speaker: Not everything rides on you.
Speaker: And that's a ton of pressure for someone to carry themselves.
Speaker: And having a system out there to just help you with that can help you just be a more relaxed parent in that way, be more present for your kids when you need to be, and really be on fire in your business when you need to be.
Speaker: yeah exactly and you know it's like as a parent we hear the the phrase it takes a village well it takes a village to run your business too and so you know have your system to will be part of that village and finding something that can support not just your business but also your personal life like for us we moved from washington state to arizona state this year and
Speaker: It was a big move.
Speaker: Yeah.
Speaker: And we did it very quickly.
Speaker: I have been trying to get my husband to move here for a very long time.
Speaker: And I'm not kidding.
Speaker: The minute he said yes, I was on it.
Speaker: Like we, he said yes in April and we sold our house in June and we moved here in August.
Speaker: Oh my gosh.
Speaker: Like I am like,
Speaker: It's probably my system's brain, but I am like, I got this.
Speaker: All I needed was the yes.
Speaker: And then like, I will handle everything else.
Speaker: But you know, that transition, like I had to make sure my business was prepared for that because, you know, I wanted to move, get settled.
Speaker: My kids are moving away from family.
Speaker: we are moving into different schools.
Speaker: Like there's so many different things that are happening.
Speaker: And so having my system tools still be doing things for me where, you know, I'm on a plane moving here with my kids and had two invoices paid and didn't have to do anything.
Speaker: And all of those kinds of things just make such a difference.
Speaker: Like
Speaker: I have an automation where I get like text alerts when I get like invoices or leads.
Speaker: And so I love getting those little dings.
Speaker: I'll be on the softball field and new lead came in and all of those things are happening automatically.
Speaker: I'm not sitting there like, Oh, let me get off the pitcher's mound while I'm like trying to do this pitching machine to my daughter and go run and send an email to this lead because they just inquired because I don't want to lose out on that lead.
Speaker: No, I'm going to stay present with my daughter as her softball coach on the field and
Speaker: And then I'm going to follow up with that lead in my boundaries of, I say, 24 to 48 hours in my emails, I'll get back to you.
Speaker: I give myself those boundaries and my leads, these boundaries.
Speaker: So then I can still stay present.
Speaker: And I think as being a mom, I was a single mom for the first year in my daughter's life.
Speaker: And until I met my husband, like, yes, I, it took a village of family and stuff, but I did everything else on my own.
Speaker: and had to do what it took to, you know, put food on the table.
Speaker: I worked 60 plus hours a week in retail.
Speaker: And that's why I started my business because I didn't want to do that ever again.
Speaker: And a lot of us, we start our businesses and then we are back in that 60 plus hours a week that we tried to leave behind.
Speaker: And now we are doing it to ourselves.
Speaker: Like there is no one telling us
Speaker: You need to sit at your desk and do this for this amount of hours, but we are doing it to ourselves.
Speaker: And especially as moms and as parents, it is so important to be present.
Speaker: And, you know, we can't get back that time.
Speaker: I mean, it goes by, everyone says like, it goes by so fast.
Speaker: I'm like, oh, like, yeah, when they're newborns, you're like, just like, I don't even care.
Speaker: I want this to go by fast.
Speaker: Time goes slow then.
Speaker: It goes very slow then.
Speaker: And now I'm like, oh my gosh, like my three-year-old, like we were just talking like, oh, my daughter's like, how old will he be in two years?
Speaker: I'll be like, oh, will you be turning six?
Speaker: That blew my, like I almost started crying because I was like, that is not a lot of time between this stage she is in now and like the age my daughter is at now.
Speaker: And so it is just so important to be so present in using your system tools to their advantage to allow you to do so.
Speaker: And yeah.
Speaker: You can also grow your business during that time as well.
Speaker: Things, it doesn't have to stop.
Speaker: Your business or your goals and aspirations don't need to stop in order to, you know, raise your family.
Speaker: I know some people feel very passionately and they just want to shut everything down and focus on their children.
Speaker: But some people love their business.
Speaker: They love their children.
Speaker: And it just sometimes feels like a struggle on how to grow both.
Speaker: And getting help with systems can help you grow both because it can create that experience that you've been wanting.
Speaker: It can grow your business, but you can also continue to just look after your kids and be present on that pitcher's mound, be able to be there for them and not miss those important years of them growing up.
Speaker: Exactly.
Speaker: And it is, yes, like you said, some people want to stay super present in that time and that is totally okay.
Speaker: And there are ways to set up automations and set up workflows.
Speaker: I worked with a client and we set up a maternity leave workflow and she was still on maternity leave, but she booked, I think like 10 clients while she was on maternity leave, not doing a thing.
Speaker: All she was doing was just
Speaker: We're reviewing a lead that came through just to make sure it was the right fit.
Speaker: And that was it.
Speaker: And everything else was going out on on its own because of these workflows.
Speaker: And so it's so important to remember that, you know,
Speaker: I'm all about annual planning as a mom.
Speaker: Sometimes you can't plan for the unexpected.
Speaker: I moving here was not expecting extra long breaks.
Speaker: We have two-week breaks instead of one-week breaks.
Speaker: Oh, that's a lot.
Speaker: That's a lot of time.
Speaker: I just got out of my two-week spring break, so I'm now fully back in work mode, I feel like.
Speaker: Yes.
Speaker: But it is, you know, when you can plan for things like look at your school's calendar and see, okay, when are breaks happening?
Speaker: Like when are times like for me, I have three birthdays in my family in June, June.
Speaker: I do not take client projects because of that.
Speaker: I want to be present.
Speaker: I'm
Speaker: We still book people, but we just book them out until July or August.
Speaker: And that is just a boundary that I have set.
Speaker: But I wouldn't know that until looking at my calendar, looking at my family's life and being like, you know, this time last year,
Speaker: was crazy.
Speaker: I had three birthday parties and I was trying to work on three different client projects.
Speaker: Like I will never do that again.
Speaker: And I haven't.
Speaker: And so it's really important to look at those things and figure out how you can plan around them.
Speaker: But then using your system tools, automations, figuring out your process and what that looks like, getting it out of your head and getting it into digital paper,
Speaker: to really help you and help your business grow as as your life grows as well.
Speaker: One thing I mean, we're talking about, you know, being on brand and personal to you and stuff in your business and what drew me into Dubsado other than how robust the workflow capabilities are for me to
Speaker: stay present in my life is the branding aspect.
Speaker: And I know that was like a big focus for you guys at Dubsado was making sure that it could be super on brand.
Speaker: So I would love to hear what some of your personal favorite ways or features in Dubsado to allow you to keep your CRM tool on brand.
Speaker: I know what my personal favorites are, but I would love to hear what yours are and see if we have the same ones.
Speaker: Yes, I would love to hear that.
Speaker: I mean, forms, number one, are my favorite.
Speaker: Dubzado allows you to create forms with images, with embedded videos, with, I mean, even when we released our new form builder, you can now do full width images and stuff like that.
Speaker: So forms will always be near and dear to my heart.
Speaker: And that's something that I love.
Speaker: But to go even beyond that in terms of customization of things that we found that other
Speaker: systems out there didn't find as important, but we really, really wanted to do was even write down to the email that you're sending from in Dubzado.
Speaker: It is from your email address.
Speaker: That is one of my favorite features and so important to just have your email come from you instead of an at dubzado.com email or at something else.
Speaker: It's very confusing for your clients to see something different or another name of another system on there.
Speaker: And another one right down to something very, very small but also impactful is a C name.
Speaker: And a C name just allows you to whatever forms or schedulers or whatever you send out through Dubzado and your client clicks on it and the link appears, that link doesn't say dubzado.com.
Speaker: It says your website or whatever your website is.com.
Speaker: And it's just another really small way to create that cohesive experience because it's
Speaker: You never want to throw a client out of loop or out of the experience because things are confusing for them too.
Speaker: They might have a busy life.
Speaker: They might be a parent with multiple things going on.
Speaker: So we want to make sure that for our users, their clients also have a seamless experience with you.
Speaker: And so that's another really important part from customizations that I personally really love.
Speaker: But I'm very excited to hear yours.
Speaker: Well, we have one in common, which is definitely the CNAME and doing your domain settings.
Speaker: I would say like very rarely I go into someone's Dubsado, whether I'm doing an audit or doing a full build, and I see the domain section fully filled out, which is not just your, you know, your CNAME and where you're mapping that address to, but it's also putting in your domain settings.
Speaker: of your page title, your page description, your preview image in your favicon.
Speaker: And so those things are so important because
Speaker: If you're sending out a link to someone and someone is asking for your lead capture or something, some kind of link, a scheduler link, whatever it is, if you don't fill that out, I love Dubsado dearly, but I don't want it to say coming from Dubsado.
Speaker: I don't want them to think that Dubsado is sending them.
Speaker: This is a lead capture to get in contact with Dubsado.
Speaker: If someone is not familiar with systems or familiar even with what Dubsado is, they're going to be like, what am I filling out right now?
Speaker: And so you want it again to be on brand and personal to you.
Speaker: So make a preview image that is sharing about your brand, has your brand voice, your fonts, colors, put a page description, put your favicon on there, which is your little icon that shows up on like the browser.
Speaker: And so have that put into the one that you have the same one as your website.
Speaker: And so it's all cohesive.
Speaker: So that is one of my favorite ones.
Speaker: Obviously love the client portal, being able to have a customized aspect for both web and mobile, because I feel like a lot of client portals out there do
Speaker: don't let you do too.
Speaker: And so I think that's really helpful.
Speaker: So if clients are going into from the mobile aspect that they can go in and you can change out which image and the size and everything like that.
Speaker: And then also just like, I love being able to brand and customize my canned emails as much as I really want to or need to.
Speaker: I feel like
Speaker: they're not meant to look like an email newsletter.
Speaker: So everyone out there that is trying to do the most with their canned emails, like, remember, these are just like emails that we are sending out, not your email newsletter.
Speaker: But being able, like, I add gifts in there.
Speaker: I add, you know, emojis, you know, into my subject line, especially with it coming from your email address, like Becca said, that also helps keep it out of the spam folder, which I, in all of my clients, I haven't had one client come to me
Speaker: and say that their emails have gone to the spam folder of their clients emails.
Speaker: And I feel like a lot of that has to do with that these emails are actually coming from your email address.
Speaker: And so, you know, being able to customize things inside of there is is so important.
Speaker: And then it's like very minor, but I don't know why I like make sure to do this on everyone's steps auto.
Speaker: But when you're sending out schedulers, there's like a greeting message that you can put at the top.
Speaker: And if you don't change it, it just says like, like,
Speaker: Greetings.
Speaker: It says like, welcome greetings or something like that.
Speaker: Like, I love it.
Speaker: Like it's just generic, but I'm like, that is the one thing I always change.
Speaker: Like I always make it so on brand to what that scheduler is.
Speaker: So if it's like,
Speaker: For me, I have a service called the Zapier Hotline.
Speaker: And so I will set up, you know, zaps for you.
Speaker: And so at the top, it says like, ring, ring, like we've answered your Zapier Hotline.
Speaker: And so I make it very on brand to what it is because also everyone's busy.
Speaker: Like someone may open up a scheduler and be like, wait, what am I scheduling right now?
Speaker: Like I totally forgot.
Speaker: Like, and so I make it like very like,
Speaker: on brand, but also like keep some focus on what they're doing at that moment so that there's no confusion or like, oh shoot, I meant to actually schedule a workflow mapping session with her and not her Zapier hotline.
Speaker: And so it's something like so minor, but that's just like one thing that I love that I can change out.
Speaker: And I just like always make sure that I switch that out.
Speaker: That's funny.
Speaker: I love that.
Speaker: Yeah.
Speaker: So Becca, for someone who is just starting out with a CRM tool, last question I had for you is like, what do you think that, you know, really makes Subsado stand out apart from the rest?
Speaker: Or like when someone is like, I just don't know which CRM tool to use for my business.
Speaker: What would you say to that person that is like on the fence or not sure about where to go with their CRM tool?
Speaker: Yeah.
Speaker: I mean, it could be a few things.
Speaker: You're either just starting out in your business and you're wondering if a CRM tool is something for you.
Speaker: I would say absolutely.
Speaker: You need to get started on a CRM tool right away because it can help you better build out your systems.
Speaker: And it can help you just better take care of your clients.
Speaker: And actually starting before you get really, really busy is the most wisest decision that you can make.
Speaker: That's not to say the people that are busy, which I'll get to in a second, it's too late for them.
Speaker: And the reason why Dubsado might be a good fit for those just getting started out, starting out is
Speaker: Dubzado, you can use as robust as it is, you can use even the smallest little bit of features and still get a great impact from it and notice a difference in your business.
Speaker: So even if you can't use all the bells and whistles just yet, my recommendation for those people just starting out is just get started.
Speaker: Just get in there, get a few canned emails in, get a few forms in there, you're done.
Speaker: Manually send your contracts.
Speaker: Don't even worry about automations just to start.
Speaker: Just get started.
Speaker: But then for those people that are, you know, like you were, had another system, really established in their business, it can be daunting to get changed over.
Speaker: And whether you're just starting out in your journey, whether you are changing from another CRM or your business is exploding,

Speaker: And we're taking a look at our early adopters that are still with us and seeing how we can
Speaker: continue to grow with them as we've watched some of these businesses shape and grow over the years, how can we still be relevant for them in 5, 10, 15 years?
Speaker: Yeah, definitely.
Speaker: And I think that is so important to, you know, really know when you are looking at a serum platform and I, I, you know, at the beginning of your business, obviously you're thinking, you know, money first.
Speaker: And I just found a tool that had some crazy deal and I was like, okay, I'm going to use this.
Speaker: And that's just what I had to do.
Speaker: But then I did quickly outgrow it because I didn't take the time
Speaker: to look to see what features did this have?
Speaker: And what features do I see myself needing in the future?
Speaker: I may not have needed them then, but where do I see my business growing and going to?
Speaker: And is the system tool going to get me there?
Speaker: And that one wasn't going to.
Speaker: And now I'm so glad that I am obviously
Speaker: with Dubsado and now chatting here with Becca, which I am so thankful that you took the time to chat with me.
